Adding and viewing notes for a job

Adding notes to a job in Okappy is a straightforward process. It enhances job management by allowing you to attach important information directly to a job, ensuring key information is available in one place.

Notes in Okappy are designed to be internal only, ensuring that sensitive or internal communications remain confidential within your team. Customers and subcontractors do not have access to these notes, preserving the privacy and integrity of internal communications and operations.

However, if there is a need to share information with customers and subcontractors, Okappy offers the flexibility to add a visible notes field to your job template. This allows you to tailor the information shared with external parties directly through the job details.

This guide will show you how to add and view notes both from the web platform and the mobile application for iOS and Android devices.

Adding Notes from the Web Platform

From the Job List:

  1. Navigate to the job you want to add notes to.
  2. Click on the three dots menu (Three dots icon) next to the job.
  3. Select New Note from the dropdown menu.
  4. Add your note

From Within a Job:

  1. Open the job to which you want to add notes.
  2. Click on the New Notes link located within the job details.
  3. Scroll to the bottom of the job details screen and select New Note.
  4. Add your note

Adding Notes from the Mobile App (iOS and Android):

  1. Open the Okappy app and select the job you wish to add notes to.
  2. Scroll down to the Notes for [your company] section.
  3. Tap the plus icon towards the top right of the screen to add a new note.
  4. Add your note

Viewing Notes

On the Web Platform:

Next to the job with notes, click the three dots menu (⋮) and select View Notes to see the attached notes.

From within the job, you can also click View Notes for direct access.

On the Mobile App (iOS and Android):

Select a job and tap Notes for [company] to view the notes attached to that job.
