Dynamically linking data between Okappy and Microsoft Excel
Certain version of Microsoft Excel can now integrate with Okappy and pull in your information periodically into an Excel sheet where you can then manipulate the data and generate management information.
Read on to find out how to connect Microsoft Excel with Okappy.
1) First check you have a compatible version of Microsoft Excel
To check that you have a compatible version of Microsoft. Click the Data option in the toolbar and then ensure you have the option to Get data From Web.
2) Generate your report data formula within Okappy
From within Okappy, generate your Microsoft Excel URL by
- Clicking Reports
- Selecting the relevant report
- Choose your options and click Generate Report
- Once the report has been created, click the Microsoft Excel Icon ( )
- Click the Copy formula button
- The formula will be copied
3) Link Your Microsoft Excel spreadsheet to Okappy
From within Microsoft Excel,
- Click Data in the toolbar
- Click From Web in the Get Data section
- Right click on the URL field and paste the URL you copied from Okappy into the URL field
- Note: If there is nothing to paste, go back to Okappy and repeat the steps to generate your report data formula
- In the next screen, click Connect
- If Microsoft Excel cannot determine the file type, then the following screen will be shown instead of the screen above
- Click Open As
- Select Csv document
- The data will be displayed in the Power Query Editor window
- Click Close & Load
- The data will be created in a new sheet
- You can click the Refresh icon any time to refresh the data
- Alternatively, hover over the query to get more options
- To change options, click the three dots at the bottom of the window
- Select Properties
- Various options are available including how often Microsoft Excel will refresh the data
Notes:
- Do not set the refresh period to often as this could slow down the performance on your account.
- Okappy reserves the right to limit the number of requests if required.
